Role Overview
The Project Manager plays a key role in supporting the successful planning, coordination and delivery of MAD Colour projects. Working closely with the Project Delivery Lead as a delivery team of two, this role focuses on day-to-day coordination, communication, tracking and follow-through, ensuring projects move smoothly from brief through to completion.
This is a hands-on role suited to someone who enjoys bringing structure & organisation, keeping people aligned, and ensuring nothing slips through the cracks. The Project Manager ensures plans are translated into clear actions, teams are aligned, progress is visible, and issues are surfaced early. This role is ideal for someone who is highly organised, collaborative and keen to build experience in delivering complex creative and production-led projects.
What It’s Like to Be a Project Manager at MAD Colour
The Project Manager role is about being close to the work and close to the people.
Working alongside the Project Delivery Lead, you’ll be involved in every stage of a project’s journey — from early planning through to build, install and completion. Your days will be spent coordinating teams, tracking progress, keeping information flowing and making sure everyone knows what needs to happen next.
You’ll work across design, production, logistics and install, building strong relationships and learning how different disciplines come together to create standout activations. You’ll see ideas move from screen to shop floor to site — and play a key role in making sure nothing is missed along the way.
This role is fast-paced and hands-on, but also hugely rewarding. You’ll be part of a project delivery team that celebrates doing things well — where planning matters, teamwork matters, and pride in the final result is shared by everyone involved.

Key Responsibilities
Project Planning & Setup
- Support the development of project plans, timelines and milestones in line with agreed delivery strategies.
- Assist in defining project scope, objectives and deliverables alongside the Project Delivery Lead.
- Help translate high-level delivery plans into practical schedules and task assignments.
- Ensure project plans are clearly communicated to all relevant teams.
Inter-Team Coordination
- Act as a central coordination point between production, logistics, install and client-facing teams.
- Support communication flow across departments to keep everyone aligned on priorities and timings.
- Schedule, organise and document project meetings, ensuring clear actions and follow-up.
- Track overall project progress and provide regular updates to internal teams.
Task Tracking & Day-to-Day Management
- Maintain accurate project task lists, ensuring responsibilities, timings and dependencies are clear.
- Liaise with internal production teams and approved subcontractors to support task completion.
- Monitor progress against project timelines and flag potential delays or constraints early.
- Escalate risks, resourcing issues or conflicts to the Project Delivery Lead with proposed solutions.
Stakeholder & Internal Communication
- Support regular communication with internal stakeholders and, where appropriate, external partners.
- Assist in preparing project status updates, reports and dashboards.
- Respond promptly and professionally to project-related queries, ensuring consistent and accurate information.
Risk & Issue Management
- Support the identification of project risks and delivery constraints.
- Help maintain risk and issue logs, tracking mitigation actions and outcomes.
- Monitor emerging risks during delivery and escalate appropriately.
Documentation & Reporting
- Maintain accurate, up-to-date project documentation throughout the project lifecycle.
- Prepare and distribute project reports, including status updates, action logs and key metrics.
- Support post-project reviews, capturing learnings and feedback to improve future delivery.
Quality Assurance Support
- Assist in applying agreed quality control processes across projects.
- Conduct basic checks on project deliverables to ensure they meet agreed standards and specifications.
- Support the resolution and tracking of quality-related issues.
Budget & Cost Tracking Support
- Assist the Project Delivery Lead in monitoring project budgets and expenditure.
- Help track costs against estimates, including labour, materials and third-party services.
- Flag variances or potential cost risks early to support informed delivery decisions.

- Project Delivery Lead: Sets delivery strategy, priorities, commercial decisions and escalation paths.
- Project Manager: Executes the plan day-to-day, keeps information flowing, tracks progress and ensures nothing falls through the cracks.
